Terms and Conditions

We make every effort to ensure the currency, accuracy and reliability of the information regarding the Adult Education Programme (A E P) contained on the Join in Edinburgh website and publicity. However, the Join in Edinburgh website and publicity may include technical or other inaccuracies or typographical errors. Changes are often made to the website. Such changes may be made to any area, at any time and without notification.

Term 3 May 2023 due to technical difficulties we will be using an interim system and won't be using the online joininedinburgh.org system.All bookings will take place via phone or in person. When bookings have been taken, a payment link will be sent by email which you will need to be pay by the end of the next working day. If payment is not received, we shall cancel your booking and you will be required to call the office on 0131 556 7978 to rebook.An email confirmation will be sent to confirm you have been removed from the course.

Please note that spaces are limited and course previously booked on may now be full.

We may at any time revise these terms and conditions without notice. It is up to the visitor to regularly review the terms and conditions in case there are any changes. Continued use of the Join in Edinburgh website after a change has been made is your acceptance of the change.

Privacy and Data Protection

This Privacy Statement only covers services provided by The City of Edinburgh Council (CEC) Adult Education Programme (A E P), the Join in Edinburgh website and the online booking process. This privacy statement does not cover links within the website to other externally operated websites (in respect of the content of which CEC accepts no responsibility), or other services provided by CEC. This website is owned by CEC and is designed and hosted by Sponge Learning, a web development company based in Edinburgh and not part of CEC.

We collect the personal information requested at enrolment as part of our public task to deliver our programme of courses. It is used to enable us to provide you with an efficient and effective service, for example contacting you about changes to classes or cancellations. We will not use your personal data for any other reason, or share it with others, unless we need to do so by law, for example to prevent or detect crime. Your information will be anonymised from our system 24 months after your last booking date. General data collated on age, gender, concession and employment status is used for service planning and reporting to council members and funding bodies.

Account Deletion

If you have created an account on JoinInEdinburgh.org for booking courses and would now like this account deleted, contact adult.education@ea.edin.sch.uk giving your full name and email address. You will still be able to go online and book courses in the future should you wish to do so. Choose the ‘continue as guest’ option.

Removal from mailing list

If you would like to stop receiving information about future courses, contact adult.education@ea.edin.sch.uk with your request giving your full name, postal and email address. We will remove you from any relevant mailing lists.

Cookies

Join in Edinburgh uses cookies.  Cookies are small files which identify your computer to the server where the website is hosted.  Cookies are sent to your computer for the following reasons:

  • to tailor the website to your browser
  •  to help us analyse the use of the website
  • to allow applications on our website to work correctly, for example, making sure that we know when you have logged on or off and in processing your booking. 

You have the opportunity to control the use of cookies on your computer.

Course Information

Course descriptions are provided to give an indication of the course content, learning outcomes and provide any other information. Although we try to ensure that this information is current and correct, we reserve the right to change the information provided and course content. Course descriptions are available for all courses.  We recommend you read the course description before joining a course.

Please ensure you look at the course descriptions before booking to check:

  • entry requirements, if applicable
  • course level
  • materials required
  • additional costs   

Course fees may or may not include materials, resources, or books. Please do not buy materials or resources for any course until you are sure that the course will be delivered and that your place has been confirmed. CEC does not accept liability for any course materials purchased prior to the commencement of any course where that course is not ultimately delivered.

CEC reserves the right to change a tutor at any point before or during a course. Any booking is for a place on a course, and not for being taught by a particular tutor. CEC does not guarantee that a particular tutor will be available to deliver a particular course.

Course Fees

Current prices are published on the Joininedinburgh website (JiE). These prices may be subject to change. The total price quoted is the amount payable in order to secure a course place. The total price includes a £10 registration fee, tuition costs and in some cases additional costs which relate to the particular course. Other optional or required materials which may be associated with the course should be purchased as identified in the course description.

To qualify for a concessionary or reduced fee you must be eligible at the time of enrolment and will be required to provide satisfactory evidence of such. If you are not able to provide such evidence you will be required to pay the full course fee.

It is always possible that, despite our best efforts, some of the courses listed on the JiE website and publicity may be incorrectly priced. CEC reserves its right and is under no obligation to book you on a course at the incorrect price even after you have received confirmation, if the pricing error is obvious and unmistakeable and could have reasonably been recognised by you as a mis-pricing.

Additional Expenses

Some of our courses may incur other expenses in addition to your course fees, for example cooking ingredients or art materials. Please do not purchase anything before your first session unless requested to do so on your course description or via communication with A E P staff before the first session. No liability can be accepted for expenses incurred for a course cancelled or altered at short notice.

Cancellations and Refunds

We reserve the right to close, cancel or combine courses if numbers fall below the point at which a course is financially viable or which does not reach the required number of enrolments (usually 12) before the first session. Once a course starts refunds will only be made if the course is cancelled by the service and we are not able to transfer you to another course.

You may withdraw from a course up to 7 days before the start date and receive a refund less the £10 registration fee. Otherwise, no refunds are given unless we cancel the course or fail to provide it as advertised.

  • You must notify the adult education programme of cancellation in writing 7 days prior to the start of the course. Email adult.education@ea.edin.sch.uk by the deadline. 

If you withdraw before a course starts, and do not inform A E P staff in writing you will not be entitled to a refund.

If we cancel a course after the course has started, you will be eligible for a full or partial refund of the course fee that you have paid.

We will refund any money received either by making a repayment to the relevant debit or credit card. Payment will normally be made within 30 days of either:

  • you informing A E P staff with a withdrawal notice within the time periods described above that makes it eligible for a refund; or
  • A E P staff informing you of a course cancellation and where we are not able to transfer you to another suitable course.

Occasionally there may be a need to cancel a class at short notice. Wherever possible we will endeavour to offer the class at a later stage.

Late Enrolment

If you enrol on a course after the course start date you will be charged the full course fee as per the Join in Edinburgh website provided the course is still accepting bookings. Some courses may have a cut-off point for accepting late bookings. If you wish to join a course halfway through or later you must contact A E P staff to request this. You may be eligible to pay a reduced rate in these circumstances.

Code of Conduct

A E P reserves the right to exclude any student on the grounds of unacceptable behaviour.

Medical Fitness

Participants are responsible for ensuring they are medically fit for any courses involving physical skills or activities. Participants undertake such courses at their own risk and are required to confirm this at enrolment stage. A medical declaration will be completed as part of the registration process.

Personal Property

Participants are responsible for personal property and equipment whilst on CEC premises or whilst attending A E P courses out with CEC premises. CEC will not accept responsibility for damage caused to, or loss of, a participant's property.

Parking

Confirmation of your place on an A E P course does not guarantee a car parking space at any venue. The majority of venues have limited parking or only on-street parking.

No Smoking Policy

CEC operates a smoke free policy. Smoking is not permitted on our premises or in play parks, car parks, courtyards and other outdoor spaces under CEC jurisdiction and used by children.
